AYSO Board Meeting Minutes October 26, 2005 meeting Attendees: Rob Schreiber, Cindy Jose, Caroline Lambert, Paul Mastromatteo, Margaret Toor, Marco Schuffelen, guest Robert Neff 1. Minutes from September meeting approved as amended. 2. David Goldman and Doug Kreitz from "Got Space" a registered PAC for getting more and better playing fields in PA attended looking for an AYSO volunteer(s) to become part of Got Space. Got Space history: evolved out of fields committee which represented all user groups, soccer and baseball. Have become self- identified watchdog of building of Mayfield site, worked during election to identify council candidates who supported Got Space agenda, now want greater community representation in the PAC. Board agreed to attempt to recruit volunteer(s). 3. Tournament: Robert Neff to be tournament director; will contact commissioners regarding set-up of play so that all teams in the divisions have a more fun tournament. Fields: - Greer - U12 B/G - JLS - U14 B - Cubberley - U14 G Area Tournament: - Greer - U12 B - Mountain View - U14 B - Menlo Park - U14G - Sunnyvale - U12 G 1. End of season pins etc. Mick needs to send email about this - coaches must do ratings in order to get photos. Coaches should start doing ratings now (have enough info) and be done prior to end of season. 2. Surveys: there are three of them (parents, coaches, refs) and can be done online. Board members should look at existing ones once Cindy notifies members of URL. Send recommended changes to Caroline by Nov. 4. 3. Volunteer forms are not being handled the way national AYSO wants it done. Board members, coaches and referees will be directed to eAYSO when initial season contact is made within WebYS. Needs to be tested more first. 4. Donation to EPA: we papid for half of EPS uniforms (Los Altos paid other half). Amount is $2,600 which allows them to keep their fees down and more kids to play. Old field painting machine: would EPA want it? 5. Commissioner comments: - Cindy: none - Rob: referee intermediate upgrade class had 11 folks; now able to do U11/12 games; will investigate giving red shirts to upgraded refs - Margaret: Ray Wong may want to become chief commissioner - boys; will be invited to next Board meeting. Shared commissioning seemed to work well; will check surveys to see overall what worked well to incorporate next year. Want to revisit moving sign-up date deadline to earlier than 5/31 so commissioners can contact potential coaches before mid/late summer. - Paul: Acct balances: checking - $25k, savings - $50k, PayPal - $4k. Refunds are only major expense left; cost of storage locker is going up; field use expense doubled, uniforms up, will need lots of balls next year. January is the month to consider/decide fees for next year. Board endorsed idea of moving some funds into short term CD rather than straight savings; Paul will look at options. - Marco: New procedure for lining fields this year successful; will do everything next year on one weekend rather than over two weekends. 1. Miscellaneous: New fields pages: dimensions for different age groups will be put on web page. Marco will also write instructions for managing them.
